Key points to consider
- All external parties interested in filming on campus must first obtain the required approvals listed on this page.
- The privacy of students, staff, and faculty must always be respected. Written consent is required before capturing any of these individuals on camera.
- Filming access may be limited or unavailable during certain periods due to scheduled classes, campus events, or other scheduled activities. We will do our best to accommodate your schedule.
- All filming and photography requests—whether internal or external—must be reviewed and authorized by the Ancillary Services team before taking place on any Ontario Tech University property, including both building interiors and exteriors.
Fees/payment
The total cost of filming at Ontario Tech is determined according to the specific needs of your production. Costs may include location and room rental fees, parking, catering, cleaning, labour, security, and any additional service requirements related to the shoot.
To confirm your filming booking at our University, full payment, including all applicable fees, must be received by the Ancillary Services team no later than two (2) business days before the scheduled filming date.

Cancellation policy
Cancellation of an approved film project must be submitted in writing to filming@ontariotechu.ca.
The filming company is responsible for all labour and direct University costs incurred up to the time of cancellation, as well as a minimum charge equivalent to one (1) day of location fees.

Approval of dates and locations
- All filming dates and campus locations must be approved and confirmed by the Ancillary Services team, and a formal contract or agreement must be signed before any filming activity takes place.

Building modifications
- Must be approved in advance and included in the contract. All spaces must be restored to their original condition after filming to avoid any additional charges.

Insurance documentation
- Proof of insurance naming Ontario Tech University as an additional insured party must be provided to the Ancillary Services team no later than 15 business days before filming begins.

Right to refuse
- Ontario Tech University reserves the right to decline any filming requests.

Script submission
- We may require a review of the script if there are any controversial or potentially triggering activities or content to be filmed on campus.
Support from the Ancillary Services team
To ensure a smooth filming experience, the Ancillary Services team acts as the primary point of contact between the University and your production company. Our team will assist with securing necessary campus permissions, reviewing and finalizing agreements, identifying suitable filming areas, coordinating with campus departments, and providing on-site guidance during filming.
